About this policy
This Privacy Policy explains how Macaulay Consulting collects, uses, stores and protects personal information. Macaulay Consulting is a sole-practitioner facilitation and strategy consultancy based in Meanjin (Brisbane), Queensland. Caroline Macaulay is the principal and operator of the business.
We handle personal information in line with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth). This policy covers information collected through this website and in the course of working with clients and collaborators.
If anything here is unclear, please get in touch using the details at the end of this policy.
What we mean by "personal information"
Personal information is any information that identifies you, or from which you could reasonably be identified. For most people who contact us, that means a name, an email address, a phone number and the content of any message you send.
What we collect, and when
We keep what we collect to a minimum. There are three ways this website and our work give rise to personal information.
When you contact us. If you use the contact form, or email or call us, we collect the details you choose to give us. This is usually your name, your email address, your phone number, the organisation you work for, and whatever you tell us about your enquiry. You decide how much to share. You do not have to give us everything, although the less you tell us, the harder it can be for us to help.
When you visit the website. This site uses Cloudflare Web Analytics to understand, in general terms, how the site is being used. This tool is privacy-respecting by design: it does not use cookies, it does not track you across other websites, and it is not used to identify individual visitors. It gives us aggregate information only, such as which pages are viewed, the general country a visit comes from, and the type of browser and device used. We use this to see what is working and what could be improved.
When we work together. If you become a client or collaborator, we will collect further information needed to do the work. That can include details about your organisation, your team and the engagement itself. We collect this directly from you and your colleagues during the engagement.
Cookies
This website does not use cookies to track you or to gather analytics.
How we use your information
We use personal information only for the reasons it was given to us:
- to respond to your enquiry and have a first conversation
- to provide, manage and improve the services we are engaged to deliver
- to send you information you have specifically asked for
- to keep proper business records, including for invoicing, tax and insurance
- to understand, in aggregate, how the website is used
We do not use your information for unrelated purposes, and we do not make decisions about you by automated means.
Direct marketing
We do not run a mailing list and we do not send unsolicited marketing. If we contact you, it will be in connection with an enquiry you have made or work we are doing together. If that ever changes, we will ask for your consent first and always give you a simple way to opt out.
Who we share it with
We do not sell personal information, and we do not share it for anyone else's marketing.
We disclose personal information only where it is necessary:
- to service providers who help us run the business, such as our email and file-storage providers, and Cloudflare, which provides the website analytics described above
- to our professional advisers, such as an accountant or insurer, where genuinely required
- where the law requires or authorises us to do so
Where we use a service provider, we choose organisations that take privacy and security seriously, and we share only what they need to do their job.
Storage and overseas disclosure
Some of the services we rely on are provided by organisations based outside Australia. In particular, Cloudflare, which provides the website analytics, is based in the United States, and our email and file-storage services may also store information overseas. This means limited personal information may be handled in, or accessible from, countries other than Australia. We take reasonable steps to use providers that handle information to a standard consistent with the Australian Privacy Principles.
Keeping your information secure
We take reasonable steps to protect personal information from loss, misuse, and unauthorised access or disclosure. In practice that means using reputable, security-conscious service providers, keeping devices and accounts protected, and limiting access to information to those who genuinely need it. No method of transmission or storage is completely secure, but we work to keep the risk low.
How long we keep it
We keep personal information only for as long as we have a genuine need for it. Enquiries that do not lead to work are not kept indefinitely. Records connected to an engagement are kept for as long as the law requires, for example for tax and business records, and are then securely deleted or de-identified.
Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong or out of date. Just contact us using the details below. We will respond within a reasonable time, and there is normally no charge. If we cannot give you access for some reason, we will explain why.
Making a complaint
If you are concerned about how we have handled your personal information, please contact us first. We take privacy concerns seriously and will do our best to put things right.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC), the national privacy regulator, at oaic.gov.au.
Changes to this policy
We may update this policy from time to time as our practices or the law change. The current version is always the one published on this website.
